Who this covers
DockBook is the booking platform. We run the software at dockbook.boats. Each captain or operator runs their own storefront at a short URL such as dockbook.boats/your-boat.
When you book a trip you are booking with that captain. DockBook stores the booking so the calendar, the deposit, and the confirmation emails work. Harbor Light Charters at /harbor-light is the live demo storefront — a beachhead, not a promise that a real operator will take you fishing.
What we collect when you book
On the public book you type a name, email, phone (optional), and party size, then pick a trip, date, and departure. Before pay you acknowledge the charter participation waiver. We store the signed name, the time, the IP address, and the waiver version. That checkbox is a stored acknowledgment, not a jurisdiction-specific legal waiver and not an e-sign PDF.
We also store booking status, deposit and trip amounts in cents, Stripe Checkout session and payment ids when a card is used, and a cancel-token hash so the confirmation email can open the guest cancel page.
Captain org data for the desk and Connect
For the captain desk and the public page we store the org name, booking slug, location, timezone, contact email and phone, boat and trip facts, weekday departures, blocked dates, deposit percent, guest cancel window, and the captain login email and name.
If Clerk is configured we store a Clerk user id. If Stripe is connected we store Stripe customer, subscription, and Connect Express account ids so the $39 plan and guest deposit payouts can run. Card numbers are not stored in DockBook's database.
Who processes it
Stripe processes card deposits, the Captain subscription, and Connect payouts to the captain. Payment details stay with Stripe.
Resend sends transactional email — booking confirmed, guest cancel, weather cancel, reschedule — to the guest and to the captain contact email. If a Resend key is not set, those messages are logged on the server instead of sent. Resend remains the processor for confirmation email when SMS is enabled.
Twilio processes SMS when SMS is enabled.
The app is hosted on Vercel. Request logs and the Postgres database hold the records above. We do not sell personal information. We do not run ads against booking data.
Email and SMS
Mail from DockBook is transactional: confirmations, cancels, weather, and reschedules. It is not a marketing list. Resend remains the primary processor for those emails.
The DockBook booking-updates program is optional transactional SMS. When SMS is enabled, texts are transactional only: booking confirm, weather cancel, and reschedule. They are not marketing messages. Support: booking@dockbook.boats. Privacy: https://www.dockbook.boats/privacy. Terms: https://www.dockbook.boats/terms.
SMS opt-in is optional at checkout. It is not required to pay. Not required to book or pay. If you opt in, you provide your mobile number. Message and data rates may apply. Frequency matches the events for that booking: confirmation, weather cancel, and reschedule.
Reply STOP to opt out. Reply HELP for help.
We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes. Carriers are not liable for delayed or undelivered messages.
Consent is the optional DockBook SMS checkbox on the live book, not a clause buried only in general terms. The same Call to Action is at https://www.dockbook.boats/harbor-light and the public mock at https://www.dockbook.boats/sms-opt-in.
Twilio processes SMS when SMS is enabled.
How long we keep it
Booking and org records stay so the desk, refunds, and the calendar stay accurate. Write booking@dockbook.boats if you want a booking or account looked at for correction or deletion. We will say what we can actually remove without breaking a paid deposit or a captain's books.
